Upload from the iPhone app

Every upload begins with an authorized athlete and a data classification. ProspectHQ uses that context to open the correct workflow, apply organization isolation, and store the result in the athlete’s record.

Start an upload

Choose the athlete

Open Home → New Upload for an athlete, or select the athlete from Players. Parents and guardians who manage multiple athletes should confirm the athlete name before choosing a file.

Choose the data type

Select the classification that describes the information—not merely the file format. For example, a screenshot of pitching measurements belongs under Pitching/Throwing, while a GameChanger season CSV belongs under Season data.

Read the upload guidance

Guidance starts on and explains the information ProspectHQ looks for, useful capture details, and common mistakes. Turn Show guidance off when you no longer need it; the setting can be restored later.

Select or record the media

Choose a supported photo, screenshot, or video. For eligible baseball and golf athletes, Swing Analysis also offers Record and analyze swing.

Review the destination and metadata

Confirm the title, performance date, session, and available observation. When creating a new performance session, use a clear title and the date the activity occurred.

Upload and confirm processing

Keep the app open while the transfer is active. Activity shows authorization, progress, processing, completion, or a retryable failure. After completion, open the athlete profile from the confirmation link.

Choose the correct classification

Use Season data, Game data, or Tournament data for results and statistics. Use the performance classifications for training sessions, measurements, and videos.

Add a session or observation

Performance uploads can create a new session or connect media to an existing compatible session. If the selected session contains observations, attach the video to the relevant swing, golf shot, pitch, or throw.
  • Use the date the performance happened, not the upload date.
  • Keep related observations under one clear session title.
  • Record the bat, club, measurement device, distance, and units when available.
  • Choose a different title when two unrelated sessions occurred on the same date.
ProspectHQ uses stable upload identifiers, content fingerprints, player context, and session identity to prevent duplicate sessions, observations, and media. If a possible duplicate requires review, follow the prompt instead of uploading repeated copies.

Prepare useful media

  • Keep the athlete and relevant measurement visible.
  • Use the original file when possible instead of a compressed screen recording.
  • Include the complete result screen, column headings, units, date, and athlete identity when they are present.
  • Trim long dead time, but retain enough context to understand the movement or play.
  • Upload only media you have permission to store and share.
Uploads are private by default. Public visibility requires separate player and section-sharing choices. Never include passwords, payment details, medical records, or unrelated private youth information in a file.

Current upload limits

The main app and Share Sheet provide foreground progress and retry. Keep the current interface open until processing confirms completion. Full relaunch-safe background transfer and general batch upload are follow-on capabilities. Video-library count, storage, and per-file limits shown in the product also apply. Removing an unneeded video frees capacity. Existing videos remain protected if a plan later changes to a smaller allowance.
