Getting started with organization management

The organization workspace is the command center for teams, athletes, members, branding, public pages, domains, and subscription access.
1

Confirm the organization owner

The owner should be the person responsible for billing and top-level access. Add at least one trusted administrator when appropriate.
2

Review the plan

Open Billing and confirm the active plan, team limit, player limit, and subscription status before building the roster.
3

Add organization members

Invite administrators or staff using their own email addresses. Do not share one login across multiple coaches.
4

Create teams

Add each team with its sport and season. Assign coaches and managers only to the teams they need to manage.
5

Add players

Create players from the organization player directory or from a team roster. Existing athletes may require an invitation and approval workflow before joining.
6

Build the organization website

Open Public Page, add brand details, configure the layout, upload media or use AI tools, preview, and publish.

Key management areas

Keep tenant access separated

An organization should see only its assigned teams, players, and members. A team manager should not receive access to other teams unless invited. Athletes may maintain their own ProspectHQ record while separately accepting membership in one or more organizations.
Use the lowest role that lets a person complete their job. Remove access promptly when a coach or manager leaves the organization.

Public organization page

The organization can choose whether teams and athletes appear publicly. The public website does not expose the private management workspace.

Build the organization website

Add brand details, design the layout, work with images, and use the AI builder.
