Add players to a team
Open the organization, select Teams, open the team, and choose Roster from the team management menu. ProspectHQ changes the roster workflow to match the team’s sport. Baseball and softball support roster and season exports. Golf teams use a generic roster CSV or line-by-line entry.Add players manually

Open Create or add player
Select Create or add player in the Team roster section.

Enter player details
Add the player name, jersey number, positions, and invitation email when available.

Review invitation behavior
If a new athlete email is provided, ProspectHQ can send the player invitation. A player can still be created without an email and invited later.

Save the roster
ProspectHQ connects an existing exact-match profile when appropriate without overwriting its established email or sending an unnecessary second invitation.
Creating a roster player and granting management access are separate actions. Use team member invitations for coaches and managers.
Import a baseball or softball roster
Team roster and season data use an official team statistics CSV export.1
Export the CSV
In your source platform, open the team’s statistics area and export the team statistics CSV using an authorized staff account.

Open the roster import
In ProspectHQ, open Roster → Import roster and season CSV.

Choose the file and preview
Upload the CSV and select Preview roster import. ProspectHQ does not ask for or store a source platform password.

Map every row
For each imported player, choose an existing ProspectHQ player, create a new player, or skip the row. Review suggested matches instead of accepting them blindly.

Import selected players and stats
Confirm the mappings and complete the import. Re-importing a later export can update mapped records, but always review duplicate warnings.
Add golfers by CSV or line by line
For a golf team, select Create or add golfers. Use either method:- Add one golfer per line as

Import golf team season totals
Open Golf team data → Import golf season totals. Paste CSV rows or choose a CSV file. Required headers arePlayer Name, Year, and Season, followed by at least one supported golf statistic such as Events Played, 1st Place, Rounds Played, Lowest Round, or Scoring All To Par.
ProspectHQ matches each row to an active golfer on the roster. Choose whether a matching player/year/season should be skipped or updated. Screenshots, PDFs, full tournament history, and the complete season editor remain available from the individual golfer workspace.
Players already in ProspectHQ
Use the roster tools to connect an existing organization player. If the player is controlled by an athlete or guardian outside the organization, the appropriate invitation and approval workflow may be required.Active roster status
Only players marked active for the team are eligible to appear on that team’s public roster. Removing or deactivating a roster membership does not automatically delete the player’s long-term profile.Common problems

Stop before importing and change the row mapping. If the import is already complete, use import management to remove or reassign the import where supported, then review the player records.

Confirm the player is active on the team, the player profile permits publication, and the team roster module is enabled on the public page.
